Your Business Phone System and VoIP – Which System is Best?

31 August 2016

Choosing a telephone system for your business is not just a case of business line rental and plugging a phone into the socket (although in rare cases, it can be!).

Business phone systems are becoming increasingly sophisticated and with Voice over Internet protocol or VoIP becoming more common place, being savvy and investing in a system that can scale up as technology changes seems like a good idea.

But you need to get the best from it, and thus opting for a business phone system that includes VoIP that is the best fit for your business is essential.

Three questions

Underpinning the right choice of business telephone system are your answers to three key questions:

I. What kind of phone system do you need? Do you need phone in offices, or do you need a virtual phone service relying on mobile phone technology?

II. If you want office phones, what service do you want? There is the option of a traditional landline service or VoIP systems run via the internet.

III. If you choose VoIP, do you want to self-host or have the system hosted by a provider?

What is VoIP?

VoIP phone systems use the same internet connection as your PCs. In other words, you need an online connection to make and receive calls.

These VoIP systems now provide to the smaller business what larger companies have benefited from for some time but, have been too expensive such as PBX hardware. In other words, VoIP systems can provide call queues, automated attendants and allow voicemails to be integrated with computers, such as sending message direct to emails and so on.

It is also a great system for when your business has mobile options too, giving remote workers access to the business’s phone system.

Pros and cons of VoIP

As you would expect, there are pros and cons to such as system. For many small businesses, VoIP provides all kinds of sophisticated abilities that they could only dream of – at a fraction of the cost. These systems are also;

  • Easy to set up and configure
  • They are cheaper systems that some landline systems

However, there are some downsides and one is that your telephone system would be reliant on your internet connection. Lose the connection, lose your phone line.

For those businesses in locations where the Internet connection and service can be a little hit and miss (surprisingly, there are many areas of the UK suffering from poor Internet connection) then this may not be the system for you.

However, many technology commentators and experts say that VoIP is the future and that in less than a decade, the need for a landline may have been eliminated. For many small businesses, the benefits that VoIP brings to them can revolutionise their business. Why not yours?
